Position Summary
The Fleet Manager will be responsible for the strategic and operational management of the company's fleet, ensuring maximum vehicle availability, operational efficiency, regulatory compliance, cost control, and safety performance.
The successful candidate will lead fleet operations, vehicle maintenance programs, fuel management, driver performance, route optimization, fleet technology implementation, and asset lifecycle management. This role requires a proactive leader with strong analytical, operational, and people management capabilities.
Key Responsibilities
Fleet Operations Management
Oversee the day-to-day management of the company's fleet operations.
Ensure optimal fleet utilization and vehicle availability to meet business requirements.
Develop and implement fleet management policies, procedures, and operational standards.
Monitor fleet performance and identify opportunities for operational improvements.
Coordinate vehicle deployment and scheduling to maximize efficiency and customer service levels.
Ensure all fleet activities align with organizational goals and operational objectives.
Vehicle Maintenance and Asset Management
Develop and manage preventive maintenance programs for all fleet assets.
Ensure vehicles are serviced and maintained according to manufacturer specifications and company standards.
Monitor vehicle condition, reliability, and operational performance.
Manage repair and maintenance budgets to ensure cost-effective operations.
Oversee vehicle inspections and ensure prompt resolution of maintenance issues.
Establish asset replacement and fleet renewal strategies.
Maintain accurate maintenance records and fleet documentation.
Driver Management and Performance
Supervise and support drivers to ensure safe and efficient operations.
Monitor driver performance, productivity, and compliance with company policies.
Coordinate driver training programs focused on safety, compliance, and operational excellence.
Conduct performance evaluations and implement improvement plans where necessary.
Promote a culture of safety, accountability, and professionalism.
Manage driver scheduling and workforce planning activities.
Fuel Management and Cost Control
Develop and implement fuel management strategies aimed at reducing operational costs.
Monitor fuel consumption trends and investigate anomalies.
Introduce controls to minimize fuel theft, wastage, and inefficiencies.
Analyze fleet operating costs and identify cost-saving opportunities.
Prepare and manage fleet operational budgets.
Track and report on key cost drivers including fuel, maintenance, tires, and repairs.
Fleet Compliance and Regulatory Management
Ensure compliance with all transport regulations, road safety requirements, and legal obligations.
Monitor vehicle licensing, insurance, inspections, permits, and registrations.
Ensure adherence to company safety standards and transportation regulations.
Maintain accurate compliance records and documentation.
Liaise with regulatory authorities and external stakeholders when required.
Monitor legislative changes affecting fleet operations and implement necessary adjustments.
Safety and Risk Management
Develop and implement fleet safety programs and initiatives.
Investigate vehicle incidents, accidents, and operational disruptions.
Conduct root cause analysis and implement corrective actions.
Monitor safety performance indicators and prepare regular safety reports.
Ensure compliance with occupational health and safety requirements.
Promote defensive driving and accident prevention programs.
Fleet Technology and Telematics Management
Oversee fleet tracking systems, GPS monitoring, and telematics solutions.
Utilize fleet data to improve efficiency, route optimization, and asset utilization.
Monitor vehicle performance through technology-based reporting tools.
Support the implementation of fleet management software and digital solutions.
Analyze operational data and provide recommendations for performance improvement.
Logistics Coordination and Route Optimization
Work closely with logistics and operations teams to ensure efficient transportation planning.
Optimize routes and vehicle utilization to improve service delivery and reduce costs.
Monitor delivery performance and fleet productivity.
Support continuous improvement initiatives within transport operations.
Coordinate fleet resources during peak operational periods.
Vendor and Supplier Management
Manage relationships with vehicle suppliers, service providers, fuel vendors, and maintenance contractors.
Negotiate service agreements and contracts to achieve favorable commercial terms.
Monitor supplier performance and service quality.
Ensure procurement activities align with company policies and operational requirements.
Evaluate and recommend new suppliers and service providers where necessary.
Reporting and Performance Management
Develop and monitor fleet-related Key Performance Indicators (KPIs).
Prepare weekly, monthly, and quarterly fleet performance reports.
Analyze operational trends and provide recommendations to senior management.
Present fleet performance data and strategic improvement initiatives.
Ensure accurate record-keeping and reporting across all fleet operations.
