Reports to: Group Managing Director

Role Overview

The Personal Assistant to the GMD provides high-level administrative, operational, and strategic support to the Group Managing Director. This is a demanding, high-trust role requiring exceptional organisational skills, discretion, and the ability to operate effectively in a fast-paced defence manufacturing and engineering environment.

Preference will be given to candidates with an engineering background (Mechanical, Chemical, Electrical, Automotive, Industrial, or related disciplines). An engineering foundation enables better understanding of technical discussions, production issues, R&D matters, and stakeholder communications with military, government, and technical partners.

Key Responsibilities

Manage the GMD’s complex calendar, schedule meetings, coordinate travel (domestic and international), and prepare detailed itineraries and briefing materials.

Act as the primary point of contact and gatekeeper for the GMD’s office — screening calls, emails, and visitors with professionalism and discretion.

Prepare, edit, and proofread high-quality correspondence, reports, presentations, board papers, and technical summaries.

Coordinate and follow up on action items arising from meetings with senior management, production, engineering, R&D, sales, government agencies, and international partners.

Organise and support internal and external meetings, including technical reviews, factory visits, client demonstrations, and high-level stakeholder engagements.

Maintain confidential files, records, and databases related to the GMD’s activities.

Conduct research and prepare concise briefings on technical, commercial, or strategic topics as required.

Liaise with heads of departments (Production, Engineering, R&D, Quality, Sales, Admin, etc.) to gather information and ensure seamless execution of the GMD’s directives.

Handle logistical arrangements for official visits, factory tours, and events involving the GMD.

Support the GMD during travel and on-site activities at the Ode-Remo manufacturing plant when required.

Perform other ad-hoc duties consistent with the seniority and sensitivity of the role.

Required Qualifications & Experience

Bachelor’s degree in Engineering (Mechanical, Aerospace Chemical, Electrical, Automotive, Industrial, or closely related field) is strongly preferred. Candidates with other strong academic backgrounds plus demonstrable technical exposure will also be considered.

Minimum of 3–7 years’ experience as a Personal Assistant, Executive Assistant, or similar role supporting C-level executives, preferably in manufacturing, engineering, defence, automotive, or industrial sectors.

Proven ability to handle highly confidential and sensitive information with absolute discretion.

Excellent written and verbal communication skills in English.

Strong organisational, prioritisation, and multi-tasking abilities under pressure.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and modern collaboration tools.

Ability to understand and summarise technical/engineering discussions at a high level.

Valid driver’s licence and willingness to travel as required.

High level of integrity, emotional intelligence, and professional maturity.

Previous exposure to manufacturing, defence, or automotive environments.

Familiarity with Nigerian government and military stakeholder engagement processes.

Experience supporting an engineer or technical leader.

Ability to work flexible hours, including evenings and weekends when necessary.
