Summary
Our Chief Executive Officer leads the organisation's strategy, partnerships, research portfolio and new business, and spends a lot of time on the road and in meetings.
We need someone who can hold the centre while that happens.
You will run the CEO's office day to day: diary, inbox, documents, follow-ups and the many moving parts of bids, contracts and events.
Done well, this role means the CEO walks into every meeting prepared and no deadline slips through the cracks.
This is not a purely clerical post. You will draft correspondence, track commitments across projects, prepare briefs and handle sensitive information with complete discretion.
Responsibilities
Running the CEO's office:
Manage the CEO's calendar across time zones, set priorities and protect time for deep work.
Screen and organise the CEO's email, flag what is urgent and draft replies for review.
Arrange local and international travel, visas, accommodation and itineraries.
Keep a clean, well-organised filing system for contracts, correspondence and official records.
Meetings and follow-through:
Prepare agendas, briefing notes and background packs before meetings.
Take minutes, record decisions and chase action points until they are closed.
Track deadlines for proposals, reports and deliverables, and give the CEO a weekly status view.
Documents and communication:
Draft, format and proofread letters, memos, concept notes, CVs and proposal sections.
Prepare presentations and keep organisational profiles, CVs and capability statements up to date.
Coordinate inputs from programme, finance, HR and research staff for bids and reports.
Stakeholders and partnerships:
Act as the first point of contact for donors, partners, consultants and government officials.
Keep an up-to-date contact list and log of partner engagements.
Support planning and logistics for workshops, board meetings and conferences.
Confidentiality and governance:
Handle board papers, staff matters and commercial information in strict confidence.
Support compliance tasks such as registrations, due diligence questionnaires and vendor forms.
Take on other reasonable tasks the CEO assigns.
Requirements
You must have
A BSc in International Relations, Business Administration, Public Administration, Social Sciences, Communication or a related field. A Master's degree in any of these fields is preferred.
At least 3-5 years' experience as an executive assistant, personal assistant or office manager, ideally supporting a senior leader.
Excellent written and spoken English, with a sharp eye for detail in documents.
Strong skills in Microsoft Word, Excel, PowerPoint and Outlook, or Google Workspace.
A proven record of keeping confidential information confidential.
It would help if you have:
Experience in an NGO, research institute, consultancy or development project.
Familiarity with donor proposals, procurement portals or evaluation work.
Working knowledge of Hausa or Kanuri.
A recognised secretarial or administrative certification.
The kind of person who does well here:
Calm under pressure and able to juggle several deadlines without dropping one.
Organised, proactive and happy to chase people politely until things get done.
Discreet, honest and comfortable dealing with senior people inside and outside the organisation.
Willing to work flexibly around key deadlines and to travel when needed.
Remunerations
A competitive monthly salary, discussed with shortlisted candidates.
Close exposure to research, evaluation, and partnership work with international organisations.
Training and a real chance to grow into programme or operations management.
A small, committed team where your work is visible and valued.
Minimum qualifications
BA/BSc/HND
